Open ChatGPT and choose dots (on the desktop app, a desktop browser or the phone app). Follow the short introduction, give your dot a name and pick how it looks. You can keep the defaults.
Connect your email through plugins, and add Slack or Teams from your dot's profile (select Add). Note: connecting a chat app does not give it your inbox; each is a separate permission.
Use the 'Client triage' prompt below to list each client, who matters there, and what counts as urgent.
Tell it never to send anything without your OK for the first few weeks.
Ask for a morning and afternoon summary. Check that nothing important landed in 'FYI'.
When you rewrite a draft, tell it why. Over time, let it handle routine replies you approve as a rule, e.g. 'confirm meeting times'.
I work with these clients: [Client A – key people – what they usually need], [Client B – …], [Client C – …]. Read my [email accounts] and [Teams/Slack] for messages from them. Sort each into: URGENT (a deadline today, a complaint, money, legal), TODAY, or FYI. At [9 a.m.] and [3 p.m.] send me a short list per client. For URGENT, message me straight away. Draft replies for the TODAY items and wait for my approval. Never send, delete or forward anything without asking.
