🧰 Before you start
- Grok Bot (install buttons on this page)
- COPIES of your spreadsheets (never the originals)
- A screen recording of you doing one complete job, e.g. one order from entry to delivery
- Patience: this is a project, not a 5-minute task
🪜 Step by step
- 1☐
Pick one journey
Choose one complete job, such as 'customer order to delivery' or 'tenant enquiry to signed tenancy'. Don't try the whole business at once.
- 2☐
Make copies of the files
Copy every spreadsheet the job touches into a new folder. The bot works on the copies so nothing real can break.
- 3☐
Record yourself doing it
Use your computer's screen recorder and talk through one real example from start to finish, saying which file you open and why.
- 4☐
Give it the build prompt
Upload the copies and the recording to Grok Bot and paste the prompt below. It will first list duplicates, conflicts and rules it needs you to clarify.
- 5☐
Answer its questions
Reply to each question in plain words (e.g. 'stock is counted on Fridays'). This is where the hidden rules in your spreadsheets get written down.
- 6☐
Test it against old records
Ask it to replay last month's real jobs through the app and compare totals with your spreadsheets. Look at every mismatch it flags.
- 7☐
Try it with one person for a week
Have one staff member use the preview alongside the old files. Collect what's confusing and send it back to the bot.
- 8☐
Optional: add the next journey
Only when the first one matches your records, add the next job to the same app.

💬 Copy-paste prompts
Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.
Turn this workflow into a working application. 1. Inspect the files, formulas and manual steps. Identify duplicate records, conflicting values and rules that need clarification. Ask me about anything unclear before building. 2. Design a shared data model. Preserve a link from each imported record to its source, and keep the original files unchanged. 3. Delegate the interface, business logic and data import to separate coding agents. Give each agent explicit acceptance checks. 4. Replay historical transactions through the app. Compare totals, stock movements and order status with the original records, then return a working preview and the discrepancies. Start with one [order / job] from [entry] to [completion] before expanding.
Write a one-page guide for my staff on using the new app for [job]. Use short numbered steps, plain British English, and a 'what to do if a number looks wrong' section.⚠️ Tips & common mistakes
- Keep the old spreadsheets running until the app has matched them for at least a month.
- Don't upload customer personal data you don't need; remove ID numbers and phone numbers from the copies if you can.
