Team tasks use connections your workspace admin approves. Ask them to make your project documents app (and Slack, if you want it posted there) available to your team.
In ChatGPT, open the Teams list and choose the team that owns the project.
In the team's Scheduled section, start a new task. Confirm the team and give it a name such as 'Friday project update'.
Use the 'Weekly update' prompt below, with links to your project documents. Team tasks don't use anyone's personal memory or custom instructions, so put everything it needs here.
Choose Schedule, then every Friday at, say, 3pm. Each task keeps its own time zone, so check it's yours.
Under Advanced, pick a model your team can use, then select Create.
Select Run now, then open Previous runs to read the draft and click a few of its source links to make sure they're right. Use Edit to tighten the instructions if needed.
Tell your teammates it exists. Anyone with permission can edit, pause or resume it, so it keeps running when you're on leave.
Using these project documents: [links to project plan, task tracker, meeting notes], draft this week's update for [project name]. Sections: 1. Done this week (max 5 bullets) 2. Blocked or at risk: what, who owns it, what's needed to unblock 3. Next week (max 5 bullets) 4. Key numbers: [e.g. budget used, tasks completed] Add a source link after every bullet. Only include things you can find in the documents; if something is unclear, list it under 'To confirm' instead of guessing. Keep it under [250] words, in plain English, for [audience, e.g. the directors].💬 Post it to Slack (optional, after a few good weeks)
After drafting the update, post it to [#project-channel] in Slack with the heading 'Weekly update, [date]'. If anything is in 'To confirm', don't post; send the draft to me in this run's conversation instead.
