Let ChatGPT write your team's weekly progress update every Friday

A shared ChatGPT task reads your team's project documents every Friday and drafts the weekly update: what got done, what's stuck and what's next, with a link to where each point came from. It runs in the cloud even when nobody has ChatGPT open, and anyone on the team can review, fix or pause it.

Prices checked 21 Oct 2026
πŸ§ͺ To try it once
No free way to try team tasks: they need a ChatGPT Business or Enterprise workspace. Business has a 2-seat minimum.
πŸ” To keep it running
ChatGPT Business: USDΒ 25 (MYRΒ 102) per person a month, or USDΒ 20 (MYRΒ 82) paid yearly. Premium seats are USDΒ 125 (MYRΒ 510) a month (USDΒ 100 / MYRΒ 408 paid yearly). Enterprise is priced by OpenAI's sales team.
⚠️ Watch out for
Your workspace admin sets the spending controls for team tasks. If a run hits a usage limit, it stops; check Previous runs before rerunning so nothing is posted twice.

  1. 1
    ☐

Ask your admin for the connection

Team tasks use connections your workspace admin approves. Ask them to make your project documents app (and Slack, if you want it posted there) available to your team.

  2. 2
    ☐

    Open your team

In ChatGPT, open the Teams list and choose the team that owns the project.

  3. 3
    ☐

    Start a new scheduled task

In the team's Scheduled section, start a new task. Confirm the team and give it a name such as 'Friday project update'.

  4. 4
    ☐

    Paste the instructions

Use the 'Weekly update' prompt below, with links to your project documents. Team tasks don't use anyone's personal memory or custom instructions, so put everything it needs here.

  5. 5
    ☐

    Set the timing

Choose Schedule, then every Friday at, say, 3pm. Each task keeps its own time zone, so check it's yours.

  6. 6
    ☐

    Check the model and create

Under Advanced, pick a model your team can use, then select Create.

  7. 7
    ☐

    Test it now

Select Run now, then open Previous runs to read the draft and click a few of its source links to make sure they're right. Use Edit to tighten the instructions if needed.

  8. 8
    ☐

    Share the job

Tell your teammates it exists. Anyone with permission can edit, pause or resume it, so it keeps running when you're on leave.

πŸ’¬ Weekly update
Using these project documents: [links to project plan, task tracker, meeting notes], draft this week's update for [project name].
Sections:
1. Done this week (max 5 bullets)
2. Blocked or at risk: what, who owns it, what's needed to unblock
3. Next week (max 5 bullets)
4. Key numbers: [e.g. budget used, tasks completed]
Add a source link after every bullet. Only include things you can find in the documents; if something is unclear, list it under 'To confirm' instead of guessing.
Keep it under [250] words, in plain English, for [audience, e.g. the directors].
πŸ’¬ Post it to Slack (optional, after a few good weeks)
After drafting the update, post it to [#project-channel] in Slack with the heading 'Weekly update, [date]'. If anything is in 'To confirm', don't post; send the draft to me in this run's conversation instead.

⚠️ Tips & common mistakes

🌟 Why it's worth it

πŸ’‘ Why it mattersWeekly updates take a manager an hour or more and are often late or skipped. A draft that writes itself from the real documents, with sources, keeps everyone informed and makes blockers visible early.
🏷️ Real exampleOpenAI's help article on team tasks (updated October 2026) uses this exact job as its worked example: a team task that drafts a weekly project update with progress, blockers and next steps, a source link for each point, and optionally posts it to an approved Slack channel. Team tasks are shared, so a colleague can keep it running when its creator is away.
