🧰 Before you start
- A ChatGPT Business, Enterprise or Edu workspace with agents switched on (ask whoever manages your ChatGPT account)
- Your work calendar and email connected to ChatGPT
- A folder of client notes (Google Drive or SharePoint)
- Optional: an example of a good meeting brief
🪜 Step by step
- 1☐
Check the admin settings
Ask your ChatGPT admin to switch on agents, let you build and share them, and allow the apps you need (Google Calendar, Gmail and your file store).
- 2☐
Open the agent builder
In ChatGPT, open Agents and start a new one. Describe the job in plain English using the prompt below; the builder drafts the name, instructions and apps for you.
- 3☐
Set app permissions carefully
Click each connected app. For calendar and email, choose each person's own account and read-only where possible. For the client-notes folder, allow reading and creating documents but not deleting.
- 4☐
Add your brief format as a skill
Choose 'Add skill' and upload an example brief, so every brief follows the same layout. A skill is a saved recipe the agent follows each time.
- 5☐
Test it with Preview
Click Preview and ask for briefs for tomorrow's meetings. Compare with one you wrote yourself and tell it what to change.
- 6☐
Schedule it
Click Schedule, then Add new schedule, e.g. every weekday at 4 p.m. Malaysia time.
- 7☐
Optional: share with your team
Under Channels, turn on sharing so colleagues can use or copy it. Each person signs in to their own calendar and email.

💬 Copy-paste prompts
Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.
Create an agent to help with client meeting prep. Check my Google Calendar for tomorrow's meetings with clients or investors. Skip internal-only meetings and events with no outside attendees. For each client meeting, pull recent notes and emails about that client from [Google Drive folder / SharePoint site], then search the web for any relevant news about them or their company from the last 30 days. Write a 1-2 page brief: who they are, history with us, what they want, open questions, and three suggested talking points. Save each brief in [folder]. Then email me a short summary of tomorrow's meetings with links to each brief. British English; currency in MYR.
Every Sunday at 8 p.m., do the same for all my client meetings this coming week, and add a one-paragraph 'week ahead' summary at the top of the email.
⚠️ Tips & common mistakes
- Start read-only; only let it create documents once you trust the output.
- Briefs can include mistakes from old notes or news; check key facts before the meeting.
- Workspace agents are a research preview, so menus may move; look for 'Agents' in the sidebar.
