🧰 Before you start

🪜 Steps (tick as you go)

  1. ☐
    1. Create your dot

In the ChatGPT desktop app, on desktop web or in the mobile app, look for dots and create yours. Give it a name.

  2. ☐
    2. Connect only what it needs

Connect your email and calendar so it can see the trip. Add your slides and brand files (logo, colours, fonts) to its files.

  3. ☐
    3. Set the money rule

In its permission rules, say it must ask you before any purchase or account sign-up. Approving one purchase doesn't give it permission for the next.

  4. ☐
    4. Brief it before you fly

Paste the 'Trip brief' prompt below with your dates and goals. It builds a list of every meeting and event.

  5. ☐
    5. Work with it on the flight

Whenever you have Wi-Fi, message it a job: 'prep tomorrow's three meetings', 'make a version of the deck for this client'. It keeps working while you're offline and the answers wait for you.

  6. ☐
    6. Review its prep

Read each meeting note and deck version before using it. Fix any facts it got wrong.

  7. ☐
    7. Hand it local errands

When you land, use the 'Local errand' prompt for things like printing business cards, finding a charger or booking a meeting room. It shows you the shop, price and pickup time before ordering.

  8. ☐
    8. Optional: end-of-day wrapOptional extra

Ask it each evening for a list of follow-ups from the day's meetings and draft thank-you emails for you to send.

💬 Prompts to copy

💬 Trip brief
I'm travelling to [city, country] from [date] to [date] for [purpose].
From my calendar and email, make a list of every meeting and event on this trip: date, time in local time, who, where, and what I want from it.
For each meeting: a short brief on the person and company from public sources, three questions to ask and one thing to avoid.
Using my deck [file name], make a version tailored to each meeting, changing only the examples and the order of slides. Don't add facts or numbers that aren't in my files.
Ask me before you send, buy, book or sign up for anything.
💬 Local errand
I'm at [hotel / area] in [city] and need [e.g. 100 business cards by tomorrow 10am].
Find 2-3 shops nearby that can do it, open now or overnight. Translate anything I need to read.
[For cards: design them using my brand files: name, title, email, phone, logo. Show me the design.]
Then show me: shop, address, price in local money and [currency], ready time. Don't order or create an account until I say yes. After I say yes, text me when it's ready to collect.
