🧰 Before you start
- A paid plan that includes Grok Bot: SuperGrok / SuperGrok Plus / SuperGrok Heavy, or a paid Cursor plan
- An iPhone (iOS 18+), Android phone (Android 9+) or a Mac / Windows / Linux computer
- Logins for the apps you want the Bot to use (e.g. Gmail, Google Drive)
- Your first Bot already set up (see the 'Grok Bot: AI teammates' guide)
🪜 Step by step
- 1☐
List your jobs
On paper, write the 3-5 jobs that eat your week, e.g. inbox, expenses, recruiting, market research.
- 2☐
Create one Bot per job
In the app tap + (New chat) then Create new Bot. Give it a name and title that says the job, e.g. 'Ivy – Inbox'.
- 3☐
Give each Bot its rules
In each Bot's first message, paste the 'specialist Bot' prompt below and fill in the gaps.
- 4☐
Create the chief of staff
Make one more Bot called e.g. 'Chief of Staff'. Paste the 'chief of staff' prompt below.
- 5☐
Make a group chat
Tap + then New Group Chat. Add the chief of staff and all the specialists. Bots in a group chat can pass work to each other.
- 6☐
Hand work to the chief
From now on, give jobs to the chief of staff only. It decides which specialist does what and only pulls you in for decisions.
- 7☐
Review weekly
Once a week ask the chief: 'What did the team do this week, and what should I change?'

💬 Copy-paste prompts
Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.
Your name is [Bot name] and your only job is [job, e.g. managing my email inbox]. Every day you should: [list 2-4 tasks]. Always ask me before: [sending emails / paying anything / deleting anything]. When the Chief of Staff gives you a task in the group chat, reply with 'On it', do it, then post a short summary. Remember these rules permanently.
You are my Chief of Staff. You manage these Bots: [Bot 1 – job], [Bot 2 – job], [Bot 3 – job]. When I give you a task: decide which Bot should do it, assign it in our group chat with clear instructions and a deadline, check their work, and only bring me finished results or decisions I must make. Every evening at [6 p.m.] send me a 5-line update: done today, in progress, blocked, decisions needed, plan for tomorrow. Remember this permanently.
⚠️ Tips & common mistakes
- Give every Bot one job; one 'do everything' Bot gets confused.
- Keep the chief of staff's update short so you actually read it.
- If two Bots step on each other's toes, tell the chief to set clearer owners.
