Every phone call summarised for the team, plus local customers spotted online

  1. 1
    ☐

    Check your phone system

Log in to your phone provider and look for 'call recording', 'transcripts' or 'email recordings'. Turn it on and add a short recorded notice so callers know.

  2. 2
    ☐

Create a new Bot for this job

Open Grok Bot, tap + (New chat) then Create new Bot. Give it a name that says the job, so you always know who does what.

  3. 3
    ☐

    Connect the apps

Paste the 'Call summariser' prompt. When asked, connect your email (where recordings arrive) and Slack or Teams.

  4. 4
    ☐

    Test with one call

Make a test call to your business line, then ask the Bot to summarise it. Check the to-dos are right and the right person is tagged.

  5. 5
    ☐

    Add the local-lead watch

Paste the 'Local lead spotter' prompt. Name the forums or groups where locals ask for recommendations (e.g. your city's subreddit or a public community page).

    Reply like a human

When the Bot flags a post, reply yourself in a helpful, non-salesy way. Don't let a Bot post for you in community groups.

💬 Copy-paste prompts

Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.

💬 Call summariser
When a new call recording or transcript arrives in my email from [phone provider], write a summary in our [Slack channel]:
- Who called and their number
- What they want, in one line
- Any address, date or price mentioned (MYR)
- To-dos, each tagged to the right person: [name = role, name = role]
If it sounds like an urgent job or a complaint, tag me at the top. Keep it under 8 lines. Never call or text the customer yourself.
💬 Local lead spotter
Every day at [9 a.m.], check [list of public forums/groups] for new posts from people in [town/area] asking for [your service]. Send me the links with one line each on why it's a good fit and a suggested friendly reply I could post myself. Do not post, comment or message anyone.

⚠️ Tips & common mistakes

🌟 Why it's worth it

💡 Why it mattersDetails from calls get lost, and people asking 'can anyone recommend a…' online are warm leads that nobody is watching.
🏷️ Real exampleHe says the call summaries let him downgrade his phone subscription, saving USD 250, and the Bot tags him when a local post is worth replying to.
