🏭AI-Run Businesses · Step-by-step guide

Run a group of websites with AI helpers that need your yes before anything goes out

One person runs more than 20 websites with Claude doing the daily work. Each AI helper has a written job (search ranking, fact checks, building pages, checking every change live, reporting the numbers), they all read the same rule book and shared folder, and around 70 scheduled jobs run through the day. Publishing, money, sending and deleting always wait for the owner's yes.

🎯 What you'll have at the endYou'll have a small team of AI helpers looking after your website: each with one job, all following your written rules, and none able to publish, spend or delete without your yes.

👀 What you'll get

Example

Here's the kind of thing you'll have at the end:

✅ ListApprovals list · Tuesday
  • Publish new page 'Best walking trails near Kampar'? Checker passed it on phone and desktop. Recommendation: yes
  • Two prices on the gear comparison page changed on the shop's site today. Update them? Recommendation: yes
  • Delete 3 old event pages from 2025? Recommendation: no, archive instead
  • Draft reply to a reader asking for a correction is ready. Send it yourself?

Overnight

  • 14 scheduled jobs ran, 1 failed (traffic report). It will retry at 1pm.

🧪 Made-up sample to show the kind of result. Your output will vary.

💸 What will this really cost me?

Prices checked 20 Oct 2026
🧪 To try it once
Free to try one role (such as a weekly content check) on Claude's free plan; scheduled tasks need Pro.
🔁 To keep it running
Claude Pro: USD 20 (MYR 82) a month, or USD 17 (MYR 69) a month paid yearly. Heavy daily use may need Max, from USD 100 (MYR 408) a month. Your website hosting stays as it is.
⚠️ Watch out for
Eight roles and dozens of scheduled tasks like the original need Max-level usage. Claude has usage limits that reset every 5 hours plus a weekly cap. When you hit them you wait, upgrade or pay for extra usage at API rates.

  1. 1
    ☐

    Create the shared 'brain' folder

Make one Google Drive folder for the business. Inside it, write short files: what the business is, current goals, what is true right now, the house writing style and who decides what. Every helper reads these first.

  2. 2
    ☐

    Write your rule book

Start a numbered list of rules, with the date each was added. For example: never publish, send, pay or delete without my yes; cite a source for every fact; save the old version before changing anything. Add a rule every time something goes wrong.

  3. 3
    ☐

    Give each helper one job

Write a one-paragraph brief per role: what it does every day and the one line it never crosses. Start with two: a 'site builder' and a 'checker' that tests every change on the live site.

  4. 4
    ☐

    Connect your site safely

Connect Claude to your website (for WordPress, an application password lets it edit content without your main login). Tell it to save a backup before each change and write how to undo it.

  5. 5
    ☐

    Schedule the daily jobs

In Claude, set up scheduled tasks: for example a morning 'site health and traffic' report and a weekly 'check every price and date is still true' job.

  6. 6
    ☐

Read one approvals list a day

Ask every job to finish by adding anything that needs you to one list, each item with a recommendation, so you can answer with a word.

  7. 7
    ☐

    Optional: add more roles

Once two roles run smoothly for a few weeks, add others, such as a search-ranking (SEO) lead, an analyst or a fact checker. Each new role gets its own brief and reads the same rule book.

💬 Copy-paste prompts

Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.

💬 Role brief (copy one per helper)
You are the [role name, e.g. Site Builder] for [business name].
Before any work: open the shared folder [folder link], read 'rules.md', 'company.md' and 'current-state.md'. If you can't reach the folder, stop and tell me.
Your job every day: [e.g. build or update pages from the specs in /specs, one page per spec].
The line you never cross: [e.g. never invent a price you can't see on the supplier's page today].
Before changing the live site, save the old version in /backups with today's date. After changing it, check the live page while logged out.
Finish every run by writing in /log: what changed, links, and exactly how to undo it. Add anything that needs my yes to 'approvals.md' with your recommendation.
💬 Daily checker
You are the Checker for [website]. Every day at [7am], open every page changed in the last 24 hours (see /log) while logged out. Check: the page loads on a phone, no links are broken, nothing lost a link it had, the homepage and menus still work, and there is no made-up price, date, review or claim. If something fails, write it in 'approvals.md' and send it back to the role that made the change. You never fix things yourself.

⚠️ Tips & common mistakes

🌟 Why it's worth it

💡 Why it mattersIt shows what a one-person online business looks like when AI does the routine work but a person keeps control of anything risky. The shared rule book and the 'checked live, with a way to undo it' habit are what make it safe to hand over the keys.
🏷️ Real exampleBill Belcamino says (counted 19 Oct 2026): 20+ live websites, 8 AI roles with written briefs, 71 scheduled agent tasks, 100+ numbered rules, all kept in one shared Google Drive folder. Every change ends with a rollback line, and he reads one approvals list a day.
