🧰 Before you start
- A Claude Pro plan or higher and the Claude desktop app
- A folder on your computer for each property
- A list of the features that matter when you compare homes (bedrooms, bathrooms, parking, furnished, flooring and so on)
🪜 Step by step
- 1☐
Make the folders
Create a 'Receipts inbox' folder, and a folder per property with a 'Receipts' sub-folder inside, for example 'Properties/12 Example Street/Receipts'.
- 2☐
Create the spending log
Make a spreadsheet with these columns: Date, Supplier, Category, Description, Amount, Late charges, Invoice number, Service dates, Property, Notes.
- 3☐
Give Claude access to that folder only
Install Claude for desktop, open Cowork and choose your property folder as the working folder. Don't point it at your whole computer.
- 4☐
Run the receipts prompt once by hand
Drop a few receipts into the inbox, paste the 'Receipts to log' prompt below and check every row it writes before you trust it.
- 5☐
Schedule it weekly
Use Cowork's scheduled tasks to run it every [Sunday evening]. Answer its questions when it isn't sure which property a receipt belongs to.
- 6☐
Draw your comparison areas
For each property, list the streets, estates or buildings that are truly comparable. The poster found a whole postcode was too broad; only part of it was a fair match.
- 7☐
Schedule the price check every two weeks
Paste the 'Local price check' prompt and schedule it fortnightly. It skips a run if it already ran in the last 12 days, and counts a home that is relisted within 90 days as one listing, as the poster does.
- 8☐
Keep your official records elsewhere
People in a similar Reddit thread advise: keep the rent ledger, signed tenancy agreements, notices and deposit records in a system you can export. Let AI draft and organise, not be the only record.

Every week, read every new file in [Receipts inbox]. For each receipt or invoice: 1. Work out which property it belongs to from the address or description. My properties: [address 1], [address 2]. If you can't tell, ask me; don't guess. 2. Add one row to [spending log file] with: Date, Supplier, Category ([repairs, utilities, insurance, cleaning, furniture, fees]), Description, Amount, Late charges, Invoice number, Service dates, Property, Notes. 3. Rename the file 'YYYY.MM.DD SUPPLIER PROPERTY' and move it into that property's Receipts folder. 4. Flag anything that looks like a duplicate payment or the same repair done twice within 2 years. Finish with a short summary: files processed, total spent per property this week, questions for me.
For my rental at [address], look for similar homes for [rent / sale] in these areas only: [list of streets, estates or buildings]. Similar means [bedrooms], [bathrooms], [size range], [type]. First check the log: if this ran in the last 12 days, stop. Treat a home that comes off the market and returns within 90 days as one listing, not two. For each home record: address or building, asking price, size, bedrooms, bathrooms, furnished or not, parking, flooring type, air-conditioning, date listed and days on market. If the listing text doesn't say, look at the photos and note 'from photos'. Add the results to [comparison sheet] and give me a 5-line summary of how my asking price compares. Only use sites whose terms allow this; if a site blocks you, tell me rather than working around it.
⚠️ Tips & common mistakes
- One landlord's setup from Reddit, not a tested product. Check its first few weeks of work line by line.
- Listing sites have their own rules on automated browsing. If a site doesn't allow it, use its saved-search email alerts instead.
- Tenant documents contain personal data. Keep them in folders Claude can't reach unless it needs them, and check your local data-protection rules.
- The same weekly receipts task works for your personal bills, car and household repairs too.
