💸 What will this really cost me?
Prices checked 20 Oct 2026- 🧪 To try it once
- Free to try if you already pay for Google Workspace (Workspace Studio is on every Business plan, Starter included). New Workspace accounts get a free trial.
- 🔁 To keep it running
- Included in Google Workspace Business: Starter from USD 7 (MYR 29) per person a month (Standard USD 14 / MYR 57, Plus USD 22 / MYR 90).
- ⚠️ Watch out for
- Free personal Gmail can't use Workspace Studio. Each extra person on your team is another seat. Check the replies before they go out: AI can get prices wrong.
🔗 Official pricing: Google Workspace pricing
Prices change often, so check the links before you pay. Amounts exclude tax. MYR at USD 1 = MYR 4.08 (Bank Negara Malaysia, 19 Oct 2026).
🧰 Before you start
- A Google Workspace Business or Enterprise plan with your own domain (Workspace Studio is listed on every Business edition, Starter included)
- A website form that emails you from one fixed address, such as quotes@yourbusiness.com
- The replies you already send by hand, with your current prices
🪜 Step by step
- 1☐
Put your replies in one Google Doc
Paste the replies you already send into a Google Doc (one Doc per business line). Give each job type the same shape: opening line, the job details and prices, one question, and a closing.
- 2☐
Write each price only once
If two old replies disagree on a price, don't guess. Type [confirm] where the price goes. The draft keeps the marker so the person sending it fills it in.
- 3☐
Make a Gem with strict rules
A Gem is a saved Gemini helper with standing instructions. Go to gemini.google.com, open Gems, create a new one, attach your template Doc and paste the 'Gem rules' prompt below.
- 4☐
Test the Gem by hand first
Paste a made-up enquiry into the Gem. Check the draft line by line against your Doc: prices exact, no promised dates, no more than two questions.
- 5☐
Build the flow in Workspace Studio
Open studio.workspace.google.com and create a flow. Starter: 'When I get an email', limited to your form's sender address. Step 2: 'Ask a Gem', pick your Gem and give it the 'Flow step' prompt. Step 3: 'Draft a reply' using what the Gem wrote.
- 6☐
Send a fake lead through your website
Fill in your own form with TEST in the message, then use the flow's Test run. Open the saved draft and check it before you turn the flow on.
- 7☐
Turn it on and keep a person in charge
Click Turn on. The flow only saves drafts; someone still reads each one, fills in any [confirm] markers and presses send.
- 8☐
Optional: one flow per business line
If you run two services, build two flows with two template Docs, so a moving enquiry can never pick up a rubbish-removal price.

💬 Copy-paste prompts
Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.
You write first-draft replies to quote requests for [business name], a [type of business] in [town]. Use ONLY the attached template Doc. Rules you must never break: 1. Prices: copy them exactly as written in the Doc. Never add up totals, estimate hours or invent a price that isn't listed. 2. Never confirm a date or say we are available. Banned phrases: 'we're available', 'we can do', 'we'll be there'. 3. If the Doc shows [confirm], leave [confirm] in the reply. Never fill it in. 4. Ask for one or two missing details only: the ones that change the price most. Never ask for something the customer already gave. 5. Never invent facts about places, buildings or services the Doc doesn't mention. 6. Keep our voice: greeting, opening line, the template body word for word, the question, then the closing. Leave out our name and phone number at the end (the email signature adds them). Start lines in price lists with '• ' instead of '- '.
This is a new quote request from our website form. Write the reply email only, using the template Doc. Return just the email text, with no headings, notes or formatting, because it goes straight into a Gmail draft. If the request doesn't match any job type in the Doc, write a short polite reply asking what they need and mark it [check]. Email from the customer: [Step 1: email body]
⚠️ Tips & common mistakes
- The flow should never send on its own: keep the last step as 'Draft a reply' and let a person press send.
- Change one thing at a time when testing; if the flow fails and you changed two things, you won't know which fixed it.
- If the sign-off appears twice, tell the Gem to leave the name and phone lines to your Gmail signature.
- When prices change, edit only the Google Doc. The next draft uses the new price automatically.
- Check your local rules on quoting and consumer protection before you send prices by email.
