  1. 1
    ☐

    Write your brief

On paper, write exactly what a 'match' is: areas, price range in MYR, type (condo, terrace, shop lot), size, tenure (freehold/leasehold) and deal-breakers.

  2. 2
    ☐

    Make an empty sheet

In Google Sheets create a sheet called 'Property matches' with columns: Date found, Portal, Link, Area, Price (MYR), Size (sq ft), Price per sq ft, Why it matches, Status.

  3. 3
    ☐

Create a new Bot for this job

Open Grok Bot, tap + (New chat) then Create new Bot. Give it a name that says the job, so you always know who does what.

  4. 4
    ☐

    Give it the job

Paste the 'Property scout' prompt below and fill in the [brackets]. When the Bot shows a Connect card for Google Drive, tap it and sign in.

  5. 5
    ☐

    Check the first run

Ask it to do one run now. Open the sheet and check 3-4 rows by clicking the links. Tell it what it got wrong, e.g. 'leasehold is fine' or 'ignore auctions'.

  6. 6
    ☐

    Turn on the daily routine

Ask the Bot to repeat the search every morning at a time you choose and to message you only when there are new matches.

  7. 7
    ☐

    Optional: a client-reply Bot

Create a second Bot, connect Gmail, and use the 'reply in my voice' prompt. Keep it on drafts only, so nothing is sent without you.

💬 Copy-paste prompts

Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.

💬 Property scout
Your job: find properties that match my brief and keep my Google Sheet 'Property matches' up to date.
Brief: areas [areas], price [min-max MYR], type [type], size [min sq ft], tenure [freehold/leasehold/either], must-haves [list], deal-breakers [list].
Where to look: [list of property portals or agency websites].
Every morning at [8 a.m.]: search, skip anything already in the sheet, add new matches as rows (fill every column), and work out price per sq ft.
Then message me a short list of new matches, best first, with one line on why each fits.
Never contact agents or owners, and never sign up or pay for anything. Remember this permanently.
💬 Reply in my voice
Read the last [30] emails I sent to clients so you learn my tone. When a client email arrives, write a reply in my style and save it as a draft in Gmail. Never send. Flag anything about money, contracts or complaints as urgent for me.

⚠️ Tips & common mistakes

🌟 Why it's worth it

💡 Why it mattersHunting for deals on portals every day is slow. A Bot can watch for you and only show you the ones worth a look.
