Teach a bot to use your business software while you're out on the job

A one-man skip-hire (roll-off dumpster) owner spends most of his day in a lorry. He trained a Grok Bot called Manny on his booking software, and now just tells it what he needs: it updated his price tables and created and sent a customer invoice for him.

  1. 1
    ☐

Create a bot for your software

In Grok Bot, create a new bot and give it a name (the source owner called his 'Manny'). Tell it this bot only looks after your business software.

  2. 2
    ☐

    Sign it in once

Ask the bot to open your software in its browser. Log in yourself when it asks (use a staff login, not the owner login, if your software allows).

  3. 3
    ☐

    Show it one job

Walk it through one task step by step, e.g. creating an invoice. Ask it to write the steps down as a saved skill (a reusable recipe) so it can repeat them.

  4. 4
    ☐

    Repeat for your top jobs

Teach it each of your 3-5 common jobs the same way, one at a time.

  5. 5
    ☐

    Set your safety rule

Tell it: 'Always show me the customer, amount and line items and wait for my OK before sending anything to a customer.' The source doesn't mention a check, so add your own.

  6. 6
    ☐

    Use it from your phone

Between jobs, message the bot in the Grok Bot app: 'Create an invoice for [customer], [service], [date].' Check the preview and reply 'send'.

  7. 7
    ☐

    Optional: review weekly

Once a week ask it for a list of everything it did in the software, and correct anything that looks wrong.

💬 Teach the bot a job
You are [bot name], my assistant for [software name] at [web address]. I'm going to show you how to [task, e.g. create and send an invoice]. Watch each step, then write it down as a saved skill called '[task name]'. Note which fields are required and what to do if something is missing. Never delete records. Ask me whenever you're not sure.
💬 Daily job from the road
Please [create an invoice / make a booking / move a job] in [software] for [customer name]: [service], [date], [price or 'use the price list']. Show me the customer, amount and line items, and wait for my 'send' before anything goes to the customer. Flag any missing or changed billing details.
