🧰 Before you start
- A paid ChatGPT plan with scheduled tasks and agent/app connections
- Logins for your CRM, accounting software and Google Sheets
- A clear written rule for each job
🪜 Step by step
- 1☐
List your nightly chores
Write down the small jobs you or staff do every day: checking orders, drafting invoices, updating the sales sheet, filing documents.
- 2☐
Pick one job
Start with the safest, e.g. 'compare today's orders with the CRM and list mistakes'. No money moves.
- 3☐
Connect the apps
In ChatGPT settings, connect the apps the job needs (e.g. Google Sheets, Gmail). For websites without a connection, ChatGPT's agent can use a browser while you're logged in.
- 4☐
Write the job
Paste the 'Nightly order check' prompt below and run it once while you watch.
- 5☐
Schedule it
Ask ChatGPT to run it every night at [11 p.m.] as a scheduled task. Check the results each morning for two weeks.
- 6☐
Add the next job
When the first is reliable, add the next, e.g. draft invoices. Keep a list of all jobs and what each may touch.

💬 Copy-paste prompts
Tap Copy prompt, paste it into your AI (Grok, ChatGPT, Claude or Gemini), then replace the [yellow bits] with your own details.
Every night at [11 p.m.]: 1. Open [orders sheet/system] and list orders marked completed today. 2. Check each against the CRM [name]: client name, amount (MYR), items, delivery address. List any mismatch. 3. For orders with no mismatch, create a DRAFT invoice in [accounting software]. Do not send or finalise. 4. Add each order to Google Sheet [name]: date, client, amount, invoice draft number. 5. Send me a summary: orders checked, mismatches, drafts created. Never send invoices, make payments or delete records.
⚠️ Tips & common mistakes
- Never let it use company cards without strict rules and a spending limit; most owners should keep purchases manual.
- Write down every job it runs, so staff know what's automated.
- If a job fails silently, you may not notice: ask for a nightly 'all done' message.
